Position Purpose:   

Provide information, support, and resources to patients who are seen by the Inflammatory Bowel Disease (IBD) team in the Division of Gastroenterology, Hepatology and Nutrition. Responsible for assisting patients with scheduling, re-scheduling, and preparing for Endoscopy procedures.  Contact all outpatients scheduled for a procedure to reinforce procedure prep and assist with resources to obtain arrival time, procedure time, transportation expectations and to answer any questions regarding the prep or procedure.  Will collaborate with other departments to determine the financial burden related to the procedure that may be incurred by the patient or department. Will provide assistance with scheduling recommended physician follow-up and treatment, and obtaining medications post-procedure.

Duties and Responsibilities:

  • Works as a liaison between physician offices, endoscopy units, and patients to meet the needs of patients scheduled for an clinic appointments and procedures across the OSU Wexner Medical Center.

  • Work closely with physician offices and endoscopy staff to ensure that patients have coordinated care.

  • Enters and retrieves necessary patient information using the Medical Information system (EPIC/Provation)

  • Functions as a liaison with all hospital departments to facilitate accurate and prompt implementation of patient care.

  • Works effectively as a team member and maintains a positive relationship and open communication with other team members and hospital departments.

  • Anticipates the needs of all customers (internal and external) and assumes responsibility for solving customer problems when appropriate.

  • Coordinates the collection of information for patient care documentation; maintains patient chart information.

  • Works with patient care team to prepare patients (and their charts) for IBD related appointments.

  • Contacts patient prior to appointments to address questions and identify barriers or concerns that may interfere with their preparation and arrival to their scheduled outpatient procedure.

  • Facilitates patients’ adherence to medication plans and assists patients with obtaining affordable medication needed for their procedure and/or condition.

  • Carries out responsibilities with compassion and sensitivity to patients, families, visitors, and other staff. Is courteous to others and promotes mutual respect.

  • Collates department statistics as requested and forwards to management as directed.

  • Follows up with patients via post discharge phone call to check on patient post procedure status and to ensure that follow-up appointments or any other questions are answered.

  • Provide referrals for services to community agencies as appropriate.

  • Provides families/significant others and patients with updates regarding patient progress or delays.

  • Escorts patient families/significant others to pre-post procedure areas.

  • Communicates schedule updates to inpatient units as directed by IBD medical director.

  • Utilizes supplies and time (both own and others time) in a cost effective manner; systematically organizes and prioritizes work.

  • Identifies opportunities for improvement in patient care and organizational processes.

  • Contributes to performance improvement of the hospital, the unit, and patient care team.

  • Makes post procedure phone calls to patients

  • Other non-direct patient care activities


  • High school diploma.

  • Previous medical office or customer service experience.

  • Must be knowledgeable with medical office operations and systems; familiar with guidelines regarding patient confidentiality issues.

  • Must be competent and prepared to assist and/or cover for members of the team.

  • Must have excellent public relations skills and organizational skills.

  • Must have personal skills to deal with patients, physicians, and staff of all age ranges.

  • Demonstrates the capability to use office equipment (computer, facsimile, telephones, pagers, etc.) associated with job responsibilities.
  • Must have working knowledge of MS Office platforms
